What to Write in a Thank You Note: Simple Wording for Any Situation

Thank you notes are short, but many people put them off because they are not sure what to say. The good news is that a thank you note does not need to be long or fancy. It just needs to be sincere and specific.

A simple three-part formula

  1. Say thank you. Start with the words, and name the gift or the act.
  2. Add a detail. Mention how you used it, or what it meant to you.
  3. Close warmly. End with a wish, or a look ahead to the next time you will meet.

Examples you can adapt

For a gift: “Thank you for the cookbook. I tried the lemon bread on Sunday and it was a hit. I am looking forward to working my way through the rest.”

For hosting: “Thank you for having us for dinner. Everything was delicious, and the evening felt so relaxed. We would love to have you over soon.”

For a teacher: “Thank you for all the time and care you put into this year. My child looked forward to coming to class, and that is thanks to you.”

For help: “Thank you for helping us move. We could not have done it without you, and we are very grateful.”

For a kindness: “Your note arrived on a hard day and it made a real difference. Thank you for thinking of me.”

Tips for writing

  • Write within a week or two if you can, but a late thank you is still better than none.
  • Use your own voice. If you would not say a phrase out loud, skip it.
  • Keep it short. Three to five sentences is plenty.
  • Handwriting is a nice touch, even if it is a little messy.
  • Do not apologize for taking time to write. Just say thank you.

When you are not sure how to start

If the words will not come, try finishing one of these sentences out loud first: “What I liked most was…”, “It came at just the right time because…”, or “I thought of you when…”. Then write down what you said. Many people find that speaking the thought first makes it easy to put on paper. And if you really are stuck, a simple “Thank you, it meant a lot” is always enough.

Thank you notes for children

Children can write a line or draw a picture. Ask them to name the gift and one thing they like about it. A short, honest note from a child is often the favorite part of the day for the person who receives it. Sit with them and let them do it in their own words.
